Using Zoom (Instructions/FAQ)

One resource available to our students/staff for remote instruction is Zoom. Below is a list of resources/instructions for using this app. Students should already have the Zoom app installed on their iPads. If available, students can also use Zoom on a phone or laptop.

Zoom Instructions - For Students

To Join a Meeting
(Students do NOT need an account to join)

  1. Click on link in email sent from your teacher.
  2. Open this page in “Zoom”? - click OPEN
  3. Please enter your name - make sure you enter you actual name - this will help the teacher know who is in the Zoom session*
    *Note - you will only have to do this once. Please make sure you enter in your name correctly
  4. Zoom would like to access the camera - click OK
  5. Click join with video
  6. Zoom would like to access the microphone - OK
  7. Send notifications - click ALLOW
  8. To hear others please join audio - call using internet audio

FAQ/troubleshooting:

  1. What if the teacher cannot hear me? 
    1. Touch anywhere on the screen.  At the top right you will see a microphone  (it’s the first icon on the left).  It will say Mute under the icon. Click the microphone.  When you are muted it will be red with a line going through it.  When you are not muted it will be white.
  2. What if the teacher cannot see me?
    1. Touch anywhere on the screen.  Next to the microphone icon is a video camera.  It will say stop video under the icon.  Click on this icon, now those in the zoom session cannot see you.  To get the camera working again, click on the camera icon again.
  3. I need to change my name displayed, how do I do it?
    1. Touch anywhere on the screen.  Click the icon with two people (Participants).  Click on your name.  Two options will come up, Mute Audio or Rename.  Select rename to change the name others in the zoom session will see.
  4. Zoom does not have permission to access my microphone/camera
    1. Open Settings > Privacy > Camera → look for Zoom and make sure it is selected ON
    2. Open Settings > Privacy > Microphone → look for Zoom and make sure it is selected ON

Zoom Instructions - For Teachers

Before using Zoom, make sure you signed into your Zoom account. If you do not have an account, please visit https://zoom.us/signup and click "Sign in with Google" and make sure you choose your JCC school email address.

To begin a Zoom meeting - from Computer

  1. Click on the Zoom icon
  2. Click New Meeting
  3. Click Start a Meeting
  4. Click Join with Computer Audio
  5. Click Invite
  6. Click Copy URL 
  7. You will need to get into your email to copy the link for the students there.
  8. Under the Manage Participants icon notice you can mute all or unmute all.  You also have the ability to not allow the students to unmute themselves. 
  9. When you are done with your session, at the bottom right you will need to End Meeting - then select End Meeting (don’t just leave the meeting)
  10. You can share your screen by selecting the Share Screen icon at the bottom - this is where you can share your screen, click white board so you can write for the students to see, show them a photo you have saved, or any of the other items listed there.
  11. You can record your Zoom session by clicking on Record > Record to this computer → at the end of the meeting, it will show you where the recording is located.

To begin a Zoom meeting - from iPad

  1. Click on the Zoom icon
  2. Click New Meeting
  3. Click Start a Meeting
  4. Click Calling using Internet Audio
  5. Click the Participants icon at the top right
  6. Hit invite at the bottom of the pop down screen
  7. Click Copy URL 
  8. You will need to get into your email to copy the link for the students there.
  9. Under the Participants icon notice you can mute all or unmute all
  10. When you are done with your session, at the top left you will need to End Meeting - then select End Meeting (don’t just leave the meeting)
  11. You can share your screen by selecting the Share Content icon at the top - this is where you can share your screen, click white board so you can write for the students to see, show them a photo you have saved, or any of the other items listed there


FAQ/troubleshooting:

  1. What if I cannot hear my students?
    1. Check to see if the student is on mute.  If they are muted there will be a microphone will be red with a line through it next to their name.  You can also check this by selecting the Participants Icon (Manage Participants on the computer).  A list of students will come up.  If they have a red microphone or red camera you know those things are shut off.
  2. What if I want to shut off the audio/video for my students?  
    1. You can change these settings under Participants (Manage Participants). You can select to mute or stop video.
  3. What if one of my students is miss behaving and I want to kick them off?
    1. To remove a student from your zoom session, select the Participants Icon (Manage Participants).  One of the options is remove, this will kick them out of your Zoom session.
  4. Zoom does not have permission to access my microphone/camera (on iOS)
    1. Open Settings > Privacy > Camera → look for Zoom and make sure it is selected ON
    2. Open Settings > Privacy > Microphone → look for Zoom and make sure it is selected ON
  5. Zoom does not have permission to access my camera (on Lenovo Laptops)
    1. Click Start > type ‘Lenovo Vantage’ and open it > Click on the menu icon on the top right > choose ‘My Device Settings’ > On the top of the page, choose ‘Display & Camera’ > scroll down to ‘Camera Privacy Mode’ and turn it to ‘OFF’

Controlling and Disabling In-Meeting Chat

Option #1 (Recommended): Meeting and webinar hosts can control whether participants can chat with everyone, with panelists and the host (for webinars), or only with the host. We would recommend to choose any option OTHER THAN "Everyone publicly and privately."

  1. Start a meeting or webinar as host. 
  2. Click Chat in the Meeting Controls.
  3. At the bottom of the in-meeting Zoom Group Chat window, click More, and then choose an option for Allow attendees to chat with... (choose one of the options: "No One," "Host Only," "Everyone publicly," or "Everyone publicly and privately".

For meetings, the host can allow attendees to chat with everyone or with the host only. 

Option #2: Setting default of every meeting you host to "no chat" -- This will prevent the host, co-hosts, and participants from chatting for any meetings you host. The Chat option will no longer appear in the Meeting Controls.

  1. Sign in to the Zoom web portal.
  2. Click Settings.
  3. Click the Chat and Private Chat toggles to disable in-meeting chat.
  4. Click Save Changes.
